We're excited to announce that with Teams MySignature, you can now add your aliases to your Teams Microsoft 365 Integration account. This feature lets you easily deploy unique and professional email signatures for each alias.
1. Add an email alias to a user in your Microsoft 365 Admin Center.
To get started, please ensure you have added an email alias to a user in your Microsoft 365 Admin Center by following the instructions in this Microsoft guide.
2. Choose an email alias in your Outlook.com Compose and reply settings so that it appears in the From field.
Next, please select an email alias in your Outlook.com settings to appear in the From field when you compose your emails by following these steps:
Log in to your Outlook.com.
Open Settings (gear icon), go to Mail > Compose and reply > Addresses to send from and select an email alias you want to appear in the From field when you compose your email.
Note: Enabled email aliases will be visible in the Teams MySignature account for up to 24 hours. If you don't want to wait, use the Sync data option in your Microsoft 365 Teams Integration settings.
3. Import your email aliases to the Teams Microsoft 365 Integration account.
Note: Ensure you are connected to the Teams Microsoft 365 integration in the Integrations tab.
Log in to the MySignature Teams Integration account with your Microsoft 365 account, then import aliases by following these steps:
Open the Users tab.
Click Import new users button to import your Microsoft 365 aliases to Teams MySignature.
Select the user's email aliases you want to import and click Review button.
Note: We identify and import unique users even if they belong to multiple groups. If a user belongs to more than one group, they must be selected in all groups.
Click Import user button to import the user's email aliases.
Note: Importing the users from your Microsoft Entra ID may take some time.
After a while, you will see a system notification that the users from the selected group have been imported from your Microsoft Entra ID, and they will become visible in the Users tab.
Note: If you remove your email aliases from your Microsoft 365 admin center, wait for the sync to complete up to 24 hours so your aliases will automatically disappear from your Teams MySignature Integration account. Or use the Sync data option in your Teams Microsoft 365 Integration settings.
Additionally, you can follow our guide on how to import users from Microsoft 365 to your Teams account.
4. Add imported email aliases to a Segment.
From the Segments tab, you can tap on a segment to which you want to add users.
Click + Add email button.
In a pop-up window, select either a specific email alias or select all email aliases and click the Add to the Segment button.
The email aliases will now be added to the selected Segment.
Note: The user's email alias can only be added once and to one segment.
Additionally, you can follow our guide on how to add users to a segment in Teams Microsoft 365 Integration.
5. Deploy email signatures for your email aliases.
In the Segment tab, select the aliases to which you want to deploy the signature template and click the Deploy selected button.
After some time, a signature template is successfully deployed for your Microsoft 365 users, and you will see the following system message:
Note: Deploying the signature to your Microsoft 365 account alias may take up to 24 hours, or you can use the Sync data option in your Teams Microsoft 365 Integration settings.
After deploying the Teams signature template to your alias, a signature will be added to your alias in Microsoft 365 and appear in each email you send from your email alias in Outlook.
